Privacy Policy

Due to improved policies around data protectionGeneral Data Protection Regulation (GDPR) is asking companies to ensure that customer’s data is protected and that it is agreed to be maintained by the company serving the client.

We take the protection of your personal data very seriously and will never share any of your information without your permission unless required by law, to protect the company or for the personal safety of yourself or others.   

I wanted to make you aware of the data stored by the Transformation-Station.com part of Infallible Knight Ltd.

The new Data Protection Legislation is comes in to force in the UK on 25th May 2018. The General Data Protection Regulation (GDPR), is EU wide legislation, and is currently being enacted into UK law and will become the 2018 Data Protection Act.

This legislation will affect every business that handles personal data for clients or staff. Personal data has been defined by the act as ‘any information relating to an identifiable person who can be directly or indirectly identified’; this will include such data as name and contact details 

Data we store: Name, phone number and wider contact details, country, how we met (referred on a course, talk, email sign up etc.), which services  used and number of sessions, cost of session or course, Email, text, messenger correspondence, written notes from phone calls and Skype sessions between us related to courses or one to one therapies and bookings may include details about things you would like resolved. All of this data is primarily to help the client and keep track of their progress.

Digital or written notes on previous sessions related to health, trauma, limiting beliefs, health conditions or phobias or similar, we will process your personal data to allow us to provide you with our services to help track progress as we go along, including client issues, dates of sessions and a summary of therapies used.  Some data may also briefly be held in paper form normally when printed off for a session or written during a session before a digital summary is created and paper is shredded.  It is rare for any data to be carried off site and would normally be in paper form. The paper does not identify the client other than by a first name and/or initials. 

Data also may be stored in audio MP3 format, notably when the client has requested a positive reinforcing hypnotherapy MP3/CD is created for the client, we may keep a copy in case they accidentally delete their copy.

Please note that during a session many things can be resolved in a content free way, I/we don’t have to go into any specific details if you don’t want to. Particularly sensitive/highly personal issues can often be addressed without a lot of content and we will endeavour to do that where ever possible to further protect your privacy.  

This information is considered confidential unless client says or agrees otherwise.  

Client data will not be shared with others unless by your request or agreement such as a client testimonial for positive results that they are happy to share. Some clients wish to share positive results to help others, but that is always their choice.

Data such as email addresses are not shared to any third parties unless the client asks us to, normally for a reason that will benefit the client such as a referral to another health practitioner that the client has requested referral to.

We will only use your data for the purpose for which it was collected. We will only grant access to or share your data where we are required or entitled to do so by law under lawful data or legal processing including accountancy.  

– One of the only times data would be shared other than this is a positive testimonial from the client (in writing, audio recording or video, including youtube, facebook, linked in and related platforms). 

- Another exception is data can be shared to authorities if a client is seen to be at imminent risk of hurting themselves or others. For example if a client was suicidal or violent or threatening of others, if this could not be dealt with during the session, we reserve the right to alert authorities or immediate family. In years of practice, we have never had to do this and it would only be in extreme circumstance that this could occur.

Metaphor stories of how a generic client was helped with a condition may be used at times but would never identify a particular client and would steer clear of highly sensitive subjects that were only identifyabe to a particular person. So for example I helped a client with a fear of spiders by doing x and they are now more comfortable, would you like to do a similar process? This is normal coaching practice.

If you are on social media, Facebook and linked in they have their own policies for protection separate to this and are becoming GDPR compliant. You can leave these platforms at any time.

The company Infallible Knight Ltd has a director (Lester Smulski) & a secretary (Pamela Smulski). Both recognise the confidentiality mentioned above and reside where the data is safely stored, under password or lock and key. 

Your data can be revised or removed at any time at your request unless there is a specific legal or business protective reason for the company to maintain it. Data will be shredded/deleted after 7 years or sooner in the case of adult clients. Testimonial data including interviews will stay infinitum unless client asks for removal. 

Your data will also be used to manage future communications between us including about our products and services.

Most of our daily updates come through Facebook, which you can of course Unlike or unfollow at anytime.

If you have signed up to a mailing list through our website or written form, we will communicate accordingly and modestly, on a course while it is running there may be a helpful summary sent after each class. Likewise a summary may be sent after a client session. If information becomes available that may be useful to a particular client/student that may be forwarded to them. Mailing list information will only be sent about twice a month, this may change in future but the intention is quality over quantity and respect of your time and inbox.

We currently do not use tracking cookies on our site, though we may in future, if we do it will be updated here.

All our client information has come through people attending our courses, through clients requesting one to one sessions, through sign on forms for more information or to join mailing list following a talk or at networking events where we have agreed to stay in touch with each other's businesses. We never purchase data from other sources.We will also never spam clients, all information will be relevant to life improvement topics.

As a small company like many we are experienced with keeping data protected but are new to GDPR and the new legislation, we will endevour to continue to enhance our processes in an ongoing fashion. The overall spirit of this document is we respect your data, treat it with care and ensure that it is accurate and fit for purpose and you can enquire about your information held and ask for it's removal or can opt out out at any time.
